TAKING A LOOK

How can I see a demo of the system?

Email us at info@eventival.com to arrange the time for a demo conference call. A typical demo will take about 40-60 minutes; we will tell you a few basic facts about the system and how we work, and give you a tour through the database. All you will need is a computer (ideally with a large monitor) connected to the internet, Skype, microphone and speakers. We can do the demo in English, French, Italian, Spanish, Czech and Korean.

What will a demo cost?

Nothing. We know that the biggest challenge of our work is that people who might definitely be interested in it do not have a clear idea about what Eventival could do for them, because products and services of this kind are simply too new to be common knowledge. So the hour during which you will learn more about Eventival is well worth our time. After the demo, we will answer your questions, possibly give you a temporary demo account, and let you decide.

Is Eventival more suitable for a small or large festival / company / organisation?

Either or them. If you are a small organisation that needs to store more than a few hundred personal data and occasionally send mass emails or newsletters, Eventival is for you. If you are a large company with hundreds of employees running one or more events, Eventival is for you. Both a large company director and a small bakery use a mobile phone, don't they?

FIRST WEEKS WITH EVENTIVAL

How do I install Eventival?

You need not install anything. Eventival is a web-based application and all you need to work with it is a web browser (Chrome, Firefox, Safari, or MS Explorer).

How fast can I get started?

If you do not require any data import, you festival database can be set up within a few hours. We will help you customise it, give you an initial online training, and off you go. You can start working within 48 hours from the moment we say "Let's do it!"

Can I add users by myself?

Yes, you may add new users at any time.

Can I set different levels of permissions for my staff?

Yes. You can create user groups of staff, and assign permissions to these user groups.

Can data from my current system be converted to Eventival?

Yes, we can convert your data to Eventival. You can either give us the data in a provided Excel import template, or it can be imported directly from your previous database. A small fee for the import (and cleaning, if necessary) of your data will be charged.

Do you offer user training?

Yes, an initial online training is a part of the setup of the system, and is free-of-charge. On-site training (preferred by those who want to benefit from our extensive experience with festivals around the world and discuss how their workflow could be improved though the use of the software) is possible upon request.

USING EVENTIVAL ON A DAILY BASIS

Can I export data from Eventival?

Yes. The export wizard lets you export most of the data in multiple combinations in Excel, PDF, CSV, etc. formats.

Can I get custom reports?

Yes. We can write custom reports for you for a fee based on the amount of work. However, you will most likely be able to create the majority of reports you will ever need.

Can I accept payments from customers online?

Yes. Eventival is integrated with the PayPal payment system. If you have a PayPal merchant account that allows you to process internet purchases, it can be set up for you in a few days. If you do not, we will assist you with getting started.

Is it a problem if our festival takes place in multiple locations?

It is not a problem, and this is precisely where a web-based system cannot be beaten. Eventival is accessible from anywhere in the world as long as you are online which makes it an ideal companion for festival organisers who are often on the road. Also, this will save you a lot of money by allowing your staff and collaborators to work remotely.

How do I get upgrades of the system?

Eventival is being regularly upgraded based on four sources: the ideas we get from our own research and experience, feedback from hundreds of festival staff members and tens of thousands of filmmakers using Eventival for submissions and other registrations, the general development of technology, and gradual transformations of the way festivals and other cultural events are organised. You will not ever need to install any upgrades - the version of Eventival you are using will always be the latest one.

What does an upgrade cost?

Nothing. Permanent evolution of the system is in our interest as much as it is in yours, and we reinvest all the money we make.

Can filmmakers upload their films directly into a festival's Eventival database?

Not at the moment. However, we are preparing collaboration with a company which has already developed this technology, and the possibility to upload and digitise films will therefore be added shortly to the features of Eventival film submission.

DATA SAFETY AND SECURITY

Where is Eventival storing my data?

The Eventival database as well as the Eventival application are stored on a dedicated server hosted with a leading hosting company Active24, a division of Mamut. The data is backed up every 24 hours on an alternate server. Thus, in the unlikely event of a server failure, only several hours of work would be lost.

Who has access to my data?

Only the people whose back-office accounts you will create, and selected representatives of Eventival. Before you ask a related question: yes, we are contractually obliged to treat your data as confidential.

Can my data be copied into Cinando?

No, it only works the other way round. As a user of Eventival, you can copy selected data (currently people with photos and companies, soon also films) from the Cinando database into your Eventival database. The agreement between Cinando and Eventival does not, at this moment, assume that data would be copied from Eventival into Cinando, though technically of course there would be no problem.

How do I get access to Eventival User Manuals?

The User Manuals are accessible directly from the application.

Do you have a hotline or an online helpdesk?

Yes. Once you sign a contract, you will be provided with a list of contacts.

Does customer service cost extra?

Basic customer service is included in the annual fee.

Will you tell us in advance how using Eventival may change the way we do things at our festival?

Yes. We are ourselves founders and organisers of several film and music festivals, and Eventival is the result of over a decade of working with dozens of festivals worldwide, and assisting thousands of users. Upon request, we will help you with the software implementation at your organisation that will certainly improve your work processes.

Can Eventival substitute an online film submission system?

Yes, though Eventival is far more than that. The Eventival Visitor Page lets filmmakers submit their films to your festival. Unlike other film submission systems, Eventival puts the films directly into your festival database.

Can Eventival be installed on my own server?

This is possible. For details, please write to us so we can arrange a phone call to tell you what it would involve.

HISTORY

How long has Eventival been around?

Eventival Ltd. was founded in November 2008 and created the first version of the Eventival software (Eventival 1.0). In November 2009, Eventival spol. s r.o. was founded to pick up where the previous development team stopped, and created Eventival 2.0.

What is DataKal?

DataKal was originally a nameless accreditation system developed for the Karlovy Vary International Film Festival Guest Services department by its system administrator Pavel Kalenda. After naming it DataKal, Tomas adapted the software for use abroad in 2000, and in a partnership with Pavel Kalenda (with whom he started the company DataKal s.r.o.), they gradually brought it to over thirty film festivals around the world, including Pusan IFF, Mar del Plata IFF, the Berlinale, Goa IFF, and many others. This fruitful partnership lasted from 2000 to early 2009 when Pavel Kalenda unexpectedly separated. With new partners, new ideas and using web-based technology, Tomas began to fully focus on Eventival which has by now grown into the world-leading film festival database and software.

What is DataKal spol. s r.o.?

DataKal, spol. s r.o. (Ltd.) is a Czech company which was created in 2000 by Tomas Prasek and Pavel Kalenda to further develop and sell their DataKal software. While the company still exists, there is no longer any collaboration between its founders.
